Owner Continuity Toolkit
The Business Without You Plan
Owner Continuity Toolkit – $179 +GST
A structured, practical toolkit that documents everything someone would need to keep your business running if you were suddenly unavailable.
17 templates, expert guidance on every section, put your plan together in a few hours.
Most business owners are one unexpected event away from chaos.
You know how everything works, you hold the relationships, the access, the passwords, the decisions. You know which client needs careful handling, which supplier to call first, and where everything is stored. The people around you don’t.
If something happened to you tomorrow – illness, injury, or something more permanent – would your team know what to do?
Would your clients be looked after?
Would anyone know how to access your systems, manage your cash flow, or make the decisions that keep the business alive?
For most small business owners, the honest answer is no.
Not because they don’t care, because they haven’t had time to document it and it’s the kind of thing you keep meaning to get to.
This toolkit is how you get to it.
What is the Owner Continuity Toolkit?
The Owner Continuity Toolkit is a structured set of 17 fillable templates that guides you through documenting everything someone would need to step into your business if you couldn’t be there.
When you complete it, what you have is ‘The Business Without You Plan’.
A clear, organised document your family, a trusted advisor, or a key team member could open in a crisis and know exactly what to do.
It’s not about succession planning or selling the business, it’s about the practical reality of what happens in the first 48 hours, the first week, and the first month if you are unexpectedly absent.
It covers your systems, your clients, your finances, your suppliers, your team, your assets and your personal guidance, everything in one structured place.
What’s Inside the Toolkit
The toolkit is divided into five parts. Each part builds on the last, moving from immediate crisis response through to long-term governance.
Immediate Continuity
• First 48 Hours Playbook: a printable quick-reference guide designed to be kept somewhere accessible and used without searching through the rest of the plan
• Critical Business Activities: the 5–8 tasks that keep your business alive, where the information lives, and who is responsible
• Priority Contacts: your crisis contact list: internal team, external advisors, key suppliers and clients
• System Access Overview: every platform the business relies on, where login details are stored, and who else has access
Operational Continuity
• Systems & Tools Register: a complete inventory of every platform, tool and software the business depends on
• Financial Access & Cash Flow: bank accounts, invoicing, payment methods, regular expenses and payroll
• Supplier & Contractor Register: critical suppliers, what they provide, payment terms and contact details
• Client Overview & Work in Progress: active clients, current projects, deadlines and what each client needs right now
Communication & Control
• Internal Direction Notes: who leads, who reports to whom, what the priorities are and what the team should avoid
• Decision-Making Framework: what decisions can be made without you, what must be escalated, financial authority limits and your nominated person with authority
Ownership & Transition
• Letter to My Successor: your personal guidance to whoever steps in: who to trust, what matters most, the biggest risks, and what to prioritise first
Governance & Maintenance
• Review & Update Tracker: a log of every review and update, with trigger events that tell you when to revisit
• Continuity Checklist: a final quality check to confirm every section is complete before you consider the plan done
Expert guidance included throughout Every template includes expert guidance notes written specifically for that section explaining what good looks like, what common mistakes to avoid, and what the person using the document in a crisis will need from you. Delete the guidance once each section is complete.
The Most Important Document You’ll Ever Write for Your Business
One of the most powerful parts of the toolkit isn’t a system, a checklist, or a process.
It’s The Letter to My Successor.
This is your personal message to whoever may need to step in.
Not a legal document it’s a direct, honest conversation. It tells them who to trust, what matters most, what the biggest risks are, how to handle clients, and what to avoid.
It captures the things that are only in your head – the nuances, the relationships, the context that no checklist can record.
Most people find this the most valuable section they’ve ever completed for their business. It’s the one that would matter most to the people around you if the unexpected ever happened.
The toolkit guides you through it with seven clear prompts. It takes less than an hour and will mean everything to the people who need it.
How It Works
- Download the toolkit: You receive a Word document formatted and ready to complete. No special software required – open and start.
- Work through one section at a time: The toolkit is designed to be completed in stages, not in one sitting. Work through the sections in order, starting with Part A. Each section takes 15–30 minutes.
- Use the guidance notes: Every section includes expert guidance explaining how to complete it. Focus on clarity over perfection – a simple, honest answer is more useful than a polished one that takes weeks to write.
- Delete the guidance, save your plan: Once each section is complete, delete the guidance notes. Save the finished document in at least two locations, digital and physical and make sure at least one trusted person knows where it is.
- Review it every year: The toolkit includes a Review & Update Tracker and a list of trigger events that tell you when to update. Most reviews take less than an hour.

FAQs
Frequently asked questions
Everything you need to know about the Owner Continuity Toolkit
What format does the toolkit come in?
The toolkit is delivered as a Microsoft Word document. You can open it on PC or Mac and type directly into the templates. No special software is required beyond a standard version of Word.
How long does it take to complete?
Most owners complete the full toolkit across two to three sessions of around an hour each. Part A: the crisis-ready section, can be completed in a single sitting and is the most important to do first.
Do I need a lawyer or accountant to complete this?
No. The toolkit is designed to be completed by the business owner, with guidance built into every section. Some sections – particularly the Decision-Making Framework and the nominated person with authority – may prompt conversations with your accountant or lawyer, but the toolkit itself does not require professional advice to complete.
What if my business doesn’t have any staff?
The toolkit works for sole operators as well as businesses with a team. If you have no staff, several sections will be straightforward to complete and the sections around systems access, financial continuity and the Letter to My Successor are arguably more important for a sole operator, because there is no team to fall back on.
Is this the same as a succession plan or a will?
No. This is a business continuity plan focused on short to medium-term operational continuity, what happens in the days, weeks and months following an unexpected absence. It is not a legal document and does not replace a succession plan, a shareholder agreement or estate planning. For those matters, speak to your lawyer.
What if I want help completing it?
If you’d prefer to work through the plan with expert guidance rather than completing it yourself, the Guided Owner Continuity Plan is designed for that. It’s a facilitated process where we build the plan together in a structured workshop. From $2,200 + GST.
Disclaimer: This toolkit is a practical planning guide and does not constitute legal or financial advice. For matters involving business ownership, estate planning or legal authority, we recommend seeking professional advice tailored to your circumstances.
